4.4.0 Core Enhancements

This section provides an overview of the more notable features delivered in this release with their highlights summarized below.

The key features of the release are as follows:

  • Users can now email Shipment Certificates directly from a Shipment form.
  • A new Refresh button is available on the Field Mappings page in Data Importer.
  • Policies configured for Storage Via the Shipment Form are now supported in Data Importer.
  • Employee email addresses are removed when the profile is deactivated.
  • New APIs have been introduced in the system.

Ability to Email Shipment Certificates from the Shipment Form

Users are now able to email shipment certificates from the Shipment Form via a new modal.

A new action button, Email Certificate, and the new Email Certificate / Email Certificate Copy modal have been added to the Shipment Form.

Additionally, two new settings have been added to the Policy Configuration page via Policy SetupConfigurationShipment > Custom ConfigurationsCustom Features page. The Display Email Certificate Modal on Shipment Form and the Print and Attach Original Certificates to Referral Confirmed Emails settings must be enabled in order for the email feature to work.

When sending an email via the Email Certificate / Email Certificate Copy modal, the following information is pre-populated but can be modified;

  • The To field includes the sender's email address.
  • The Subject field includes the Certificate Number.
  • The Body field includes a generic message.

Additionally, a new Audit Trail entry is added when the email is sent.

Data Importer: New Refresh Button Added to Field Mapping Screen

A new Refresh button has been added to the Field Mapping screen in Data Importer that pulls updated, new, or deleted data from the Shipment Form fields (including EDFs) to maintain consistency between the systems.

The Refresh button is only visible to users with the ManageUplinkTemplates security right.

Upon clicking the Refresh button, the user is prompted to confirm they want to proceed with the refresh.

A template only retrieves fields from the associated policy record in the following instances:

  • When clicking Save after creating a new Template. When a Template profile page is being saved for the first time, it is saved to the database with the mapped fields.
  • Upon clicking Refresh from an existing template on the Field Mapping screen directly.

Once clicked the system:

  • Removes all fields and mapping attributes that are no longer applicable to the policy record.
  • Adds all new fields that are not currently present on the Field Mapping screen.
  • Ensures any fields that exist in the Shipment and are already in the Field Mapping screen are maintained, along with their configured attributes (mapping name and default value).

Data Importer: Storage Via the Shipment Form Now Supported

Data Importer now supports importing and booking storage declarations for Storage Via the Shipment Form policies.

When creating the Excel file to be imported through the Data Importer, special considerations must be made for policies that are configured for Storage Via the Shipment Form (SVTSF). Prior to uploading the file, users must configure the Field Mappings and Data Value Mappings accordingly for the SVTSF policy.

For policies configured for SVTSF, users are not required to map the each country field for Loading/Discharge/Origin/Destination countries. Instead, users can map all country fields to a single Country field by providing a Named Location or Unnamed Location, and specifying this in the Excel file created. When the storage certificate is generated, the specified country will be displayed in each field accordingly.

Employee User Profiles: Remove All Instances of Email Address When Employee is Deactivated

When the Active checkbox on an employee's User Profile page is unchecked, the system retrieves all instances from the latest policy record, where the employee's email address was used for notifications, and removes it from those notification lists. The deactivated user's email address is removed from the following notification sections in the system:

  • From the Assured Company profile:

    • Contact Email
    • Suspended Notification Email
  • From the Licensee Company profile:

    • Contact Email
    • Suspended Notification Email
  • From the Proprietary Company profile:

    • Contact Email
  • From the Notifications section in Policy Setup:

    • Policy Participant Contacts list
    • Other Contacts list
  • From the Invoice E-mail Details panel on the Bill To Party Details modal:

    • From
    • To
    • CC

    Note that if only one email address was provided in the To, From, and CC fields, when removing the email address from the Bill to Party Details section, the email is replaced with the default system email address.

  • From the Sanction Screening Configuration (Licensee users only):

    • Notification List

A new control is displayed on the Status panel, below the Active checkbox, called Remove Email address from Notification Lists. Check this box to enable the system to purge all instances of the employee's email address. Once saved, email addresses will have to be re-added manually if necessary.

Immediately after the user is deactivated, the email address purge request is sent to the job queue and runs as soon as the next agent is available. Note that once the user has been placed in the queue to remove the email address, even if the user then re-activated, the job will still run and the email is removed.
