Completed File
An excel file containing the results of the import, including the successfully mapped rows.
Data Importer
The Data Importer feature is designed to facilitate the management of large amounts of data at once, within the Oceanwide Marine Suite.
Data Value Mapping
Users can map policy data such as Conveyances, Countries, Currencies, etc., to custom values unique to their organization. This is effective when uploading the Excel file for import, as users can enter their custom Data Value Mappings instead of using the system codes, and then the system will correctly retrieve the field values based on these mappings.
Default Value
If it’s a country, then enter an ISO code or if preferred a custom Data Value Mapping value. Or if it’s a Commodity, then enter the name of the commodity where you want to default all shipments.
Errors File
An excel file containing the results of the import, including the rows that were not imported and the associated error message.
Field Mapping
The Field Mapping screen is used to map columns in the excel file to an Oceanwide Marine Suite field.
This screen must be configured for the system to know which column to retrieve data from for a given shipment form field. The list of shipment form fields is below.
The fields are derived from the Shipment Screen Customization of the policy. Not all fields are required.
Upload a spreadsheet using the Column Headers Import widget on the left-hand side and the system will take the column headers from each column (of the first row) and make the column headers available as options in the Source File Column Header section below.
Imported Files
A copy of the excel file that was uploaded during import. Users can download this file by double-clicking the .xlsx link in the Imported File column on the Activity page.
Processed Files
A window that displays the results and related excel files of the imported files.
Users can download an excel file containing the result of the import, including the rows that were successfully processed, or any errors that occurred during the import.
Template
An excel file that contains Field Mapping and Data Value Mapping information to be used during an import.
Template List
The landing page when accessing Data Importer. This page displays a list of available templates based on the user's policy scoping.
Template Profile & Import
The Template Profile & Import page displays the selected template's details, including the Policy it is associated, the Owner Company, the Template Name, etc.
Users with the appropriate rights can also modify the template from this page, by uploading a new excel spreadsheet.
Date Format - Field
Users must select the format of date values within the file to be uploaded.
Description - Field
A standard text area field available for users to enter a short description of the template.
Notification List - Field
Email addresses specified here will be sent an email containing up to two attachments (processed files) each time an import completes. Addresses must be comma separated.
For example: john.smith@work.com,janedoe@theoffice.com
Number Format - Field
Users must select the format of numeric values within the file to be uploaded.
Owner Company - Field
Displays the Owner Company name associated to the selected policy. This is also the company who will own the template.
Policy - Field
The Policy field displays the policy the template is associated to. While policies can have multiple templates, a template can only be associated to one policy.
The policies available are based on the policies the logged-in user has access to, within the organizational hierarchy.
Template Name - Field
The name of the template created.
Template Type - Field
The type of entity the template belongs to. At this time, only Shipment is available.
Select File to Import - Field
Select a file in .xslx or .csv format to be imported. The first row must contain the column headers based on the Field Mapping screen configuration.
Each subsequent row will be categorized as a unique shipment.
Add - Action Button
A standard system button that adds an item to the page, window, or screen the user is currently viewing.
Close - Action Button
A standard system button that closes the page, window, or screen the user is currently viewing.
Delete - Action Button
A standard system button that deletes an item from the page, window, or screen the user is currently viewing.
Import - Action Button
The Import button begins the process of importing the excel file.
View Details - Link
A standard, clickable link that opens a details window on the screen the user is currently viewing.
