Policy Information Widget

The Policy Information widget displays a selection of information about the current transaction and policy, and provides access to the full information.

The widget displays the following information:

Product

Identifies the product related to the submission or policy.

Policy No

Once the policy is Bound, the policy number is generated and displayed in this field.  This field is hidden until the policy number has been generated.

Term ID

Identifies the id number assigned to the full term of the policy.  This field is hidden once the policy number has been generated, but is still available in the details page.

Status

Displays the status of the current transaction, preceded by the transaction type (excluding New Business).

Correction

Displays the type of correction that has been made on the transaction.  This field is only shown for voided transactions and their associated offset transactions.

Distributor

Identifies the Distributor company attached to the submission or policy.

Contract On Identifies the Contraction Date for a Policy Term Contraction transaction. The date can not be changed in the widget, but can be edited in the details page. Click the link to open the Policy Information window.
  Note that when working within a Policy Term Contraction, certain fields become read-only.

Effective

Identifies the starting date of the current transaction.  The date cannot be changed in the widget, but can be edited in the details page.  This field is hidden for Cancellation transactions.

Valid Until

Identifies the end date of the current transaction.  The date cannot be changed in the widget, but can be edited in the details page.  This field is hidden for Cancellation transactions.

Cancel On

Identifies the date that a cancellation takes effect.  This field is only shown for Cancellation transactions.

Rescinded On

Identifies the date that the cancellation was rescinded.  This field is only shown for Cancellation - Rescinded transactions.

Notes:

Depending on the security roles assigned to the user, all policy information (other than the Effective, Valid Until, and Cancel On date fields) may be hidden in the widget.  This information remains available in the details page.

Settings in the product may prevent the editing of dates, or may hide one or both of the Effective and Valid Until date fields entirely, in both the widget and the details page.  The current status of the submission or policy may also prevent editing.

If all fields in the widget are hidden, the widget is not shown, and the details page is not available.

Clicking the product name or either of the date fields opens the Policy Information window.

The Policy Header panel includes information on the full policy term.

Product

Identifies the product related to the submission or policy.

Policy Number

Once the policy number has been generated, it is displayed in this field.

Term ID

Identifies the id number assigned to the full term of the policy.

Distributor

Identifies the Distributor company attached to the submission or policy.

Some fields are not displayed.

The Policy Transaction panel includes information specific to the current transaction.

Transaction ID

Identifies the id number assigned to the current transaction.

Endorsement No

Only displayed for Endorsement transactions.  Displays the sequential number assigned when the endorsement was bound.

Adjustment No

Only displayed for Adjustment transactions.  Displays the sequential number assigned when the adjustment was bound.

Status

Displays the status of the current transaction, preceded by the transaction type (excluding New Business).

Correction Type

Only displayed for voided transactions and any associated offset and replacement transactions.  Displays the correction type of the current transaction.

Source Transaction ID

Only displayed for offset  and replacement transactions.  Links to the original voided transaction.

Void Reason

Only displayed for voided transactions.  Displays the selected Void Reason for a voided transaction.

Additional Details

Only displayed for voided transactions.  Displays any Additional Details provided for a voided transaction.

Compliance Acceptance Reason

When a transaction has gone into referral for compliance reasons and been accepted, the Acceptance Reason is displayed here.  Otherwise, this field is hidden.  The Acceptance Reason is cleared if the quote is recalculated.

Reject Reason

If the submission has been declined, the reason for the rejection is displayed here.  Otherwise, this field is hidden.

Mark as Lost Reason

If the submission has been marked as lost, the reason for the loss is displayed here.  Otherwise, this field is hidden.

Effective Date

Identifies the starting date of the current transaction.  This field is hidden for Cancellation transaction types.

Valid Until

Identifies the end date of the current transaction.  This field is hidden for Cancellation transaction types.

 

Notes:  

The product may contain settings that prevent the editing of dates, or may hide one or both date fields entirely.  The current status of the submission or policy may also prevent editing.

Changing the Effective Date or Valid Until date for a Quote Version affects all associated versions, and resets Quoted, Underwriting Required, and Referred versions to Incomplete.

The Effective Period of an Endorsement transaction can be extended by changing the Valid Until date to a later date. If a Renewal term has been initiated before the Endorsement is extended, the Effective Date of the Renewal term is determined by the policy term settings defined for the Endorsement term, while the Valid Until date is calculated according to the policy term settings for the Renewal term. If the option to override policy term dates is enabled, this setting can be modified.

Contraction Date Only displayed for contracted transactions. This field identifies the Effective Date of the Contraction transaction.

Policy Term Dates

Depending on product settings, this field may be visible when viewing any transaction type except a Cancellation.

 

This field is editable when viewing a New Business or Renewal transaction in Incomplete, Quoted, Underwriting Required or Referred status, and the transaction has no Quote Versions. This field will not be editable when viewing a transaction in Compliance Referral.

 

This setting controls when a Policy Renewal will occur in relation to the prior term’s Valid Until date.

 

Note: Depending on product settings, changing the selection of this field while viewing a transaction in Quoted or Underwriting Required status will cause the transaction to be re-quoted or set to Incomplete.

  • Inclusive With Next Day Renewal

The effective period includes the entire Valid Until date, with any renewal starting on the day after the Valid Until date.

  • Exclusive With Same Day Renewal

The effective period includes part of the Valid Until date, up to the policy start time. Any renewal will start from the policy start time of the previous term’s Valid Until date.

The Quote Version panel is available for New Business and Renewal transactions, and displays information on the current quote version.

Version Number

Displays the number of the quote version, defined by the system when the version was created.

Version Name

Displays the name of the version, provided when the version was created.  The name can be edited until the version is Bound, Declined, or Lost.

The Policy Billing Information panel displays the relevant billing information for the policy.

Billing Option

Identifies who should receive the bill for payment of premium.

  • Direct

The bill is addressed to the client, at the address provided in the billing party details.

  • Agency

The bill is addressed to the distributor, at the address provided in the billing party details.  The distributor can then bill the client appropriately.

  • Insurer Commission Billing
The bill is addressed to the insurer, at the address provided in the billing party details.

The Cancellation panel is only displayed for Cancellation transactions.  These fields may be edited while the cancellation is in Quoted status, but not once the cancellation is confirmed or rescinded.

Rescission Date

This field is only displayed for Rescinded transactions, and displays the date that the cancellation was rescinded.

Cancellation Date

Enter the date that the cancellation takes effect, or select the date from the calendar lookup .

Cancellation Reason

Select the reason that the policy is being cancelled.

If "Other", Specify

If "Other" is selected for the Cancellation Reason, enter an explanation in this field.

The Reinstatement panel is only displayed for Reinstatement transactions.

Reinstatement Reason

Select the reason that the policy is being reinstated.  This field may be edited while the reinstatement is in Quoted status, but not once the reinstatement is bound.

Click Save & Close to save any changes and close the details window, or click Close to close the details window without saving any changes.  The Save & Close button is only available if at least one of the fields can be edited.

On saving, the system validates any date changes and recalculates the quotes, if necessary.

Changing the Distributor on a Policy Term

The distributor on a policy term can be changed.  Changing the distributor has important effects on both the new and former distributor.  The description of these effects requires the introduction of some terms: the Term Distributor, and the Latest Term Distributor.

  1. The Term Distributor is the distributor that was most recently associated to a specific policy term.  The Term Distributor represents the client for the term and is the only distributor that can transact in the term.  When a policy term is created or renewed, the assigned distributor is the Term Distributor.  Following a distributor change, the new distributor becomes the Term Distributor.  The previously assigned Term Distributor becomes a former distributor.
  2. While the Term Distributor is defined in the context of a single policy term, the Latest Term Distributor is defined in the context of an entire policy. The Latest Term Distributor is the Term Distributor for the most recent term in a policy.

The distributor can be changed on New Business, Endorsement, ERP Endorsement, Adjustment or Renewal transactions that are in Incomplete, Quoted, Underwriting Required or Referred status.

Notes: Changing a Distributor

Following a distributor change, the following rules apply to the Term Distributor and the former distributor for a given policy term.

  • The Term Distributor gains access to all transactions within the policy term.
  • The former distributor cannot view transactions that are created after the distributor change.
  • The former distributor has read-only access to all transactions on which it is the distributor.

A distributor change also affects how client information can be updated by each distributor.  A client’s information can be updated by a distributor in two ways:

  • It can be updated from within a transaction, using the Client widget.

    • If the distributor is a Latest Term Distributor for the client on any policy, the update will automatically also be made to the client’s information in the Clients menu.
    • If the distributor is not a Latest Term Distributor for the client, the update will be limited to the transaction.
  • It can be updated from the Clients menu, if the distributor is a Latest Term Distributor for the client on any policy.  Updates made in the Clients menu are not automatically copied to transactions.

To change the distributor for a policy term:

  1. In the Policy Information widget, click on the product name or either of the date fields to open the Policy Information window.
  2. In the Policy Header panel, click in the Distributor combo box and enter search-text for the new distributor.
  3. Click on the search icon .
  4. Select the new distributor from the search results.
  5. Click Save & Close to complete the distributor change and close the Policy Information window, or click Close to close the Policy Information window without changing the distributor.

Notes:  

When a distributor is changed for a transaction in Quoted, Underwriting Required or Referred status, the transaction will be set to Incomplete.

Any related Quote Versions will have their distributor changed to the new distributor.

Any related Quote Versions in Quoted, UnderwritingRequired or Referred status will be set to Incomplete.

Following the distributor change, any of the above transactions and Quote Versions that had quotes will have to be re-quoted.  Some of these transactions and quote versions may be re-quoted automatically, depending on product settings.
