Managing Document Templates

The system includes the ability to dynamically generate documents, pulling in system and transaction information to produce custom documents for a wide variety of purposes.

Each document is first created as a template, using placeholders for system and transaction information.  See the Document Configuration section for detailed instructions on preparing templates.  The templates are then uploaded into the system through the Document Templates page.

  1. Navigate to the Document Template List.
    • If using the policy module, select Product Design from the main menu, then select Document Templates.
    • If using the billing or claims modules, select either Billing or Claims from the main menu, Configuration, then Document Templates.
  2. The Document Templates page opens in a new window, containing a list of all available templates across all modules.

    Tip: By default, only Active templates are displayed. Clear the filter in the Status column to view all templates.

    If there are a large number of available templates, see the Using Grids section for help on finding the appropriate templates.

  3. Select an action.
    • Click a link in the Name column to view an existing template.
    • Click Add to add a new template.
    • Check the boxes for one or more templates and click Deactivate to disable the selected templates. A template can also be deactivated from the Document Template window. Inactive templates remain functional in existing configurations, but cannot be selected for new configurations.
  4. On viewing or adding a template, the Document Template window opens.
  5. The panels and fields are described below.  Fields marked with a red asterisk * are required.
  6. Name Enter the name of the template.
    Code Enter a code to identify the template internally.  If this field is left blank, the system will generate a unique code when the template is saved.
    Description Enter a description of the template.
    Product Select a product. The template will only be available to configurations within the same product.

    The Document Template panel is only available when creating a new template. When viewing a saved template, this panel is replaced with the Document Template Versions panel. The information provided here is used for the first version of the template.

    Effective Date An effective date can be defined for the template version. When a document is generated using this template, the effective date is used to select the appropriate template version. If multiple versions have the same effective date, the most recently modified version is used.
    Culture Select a culture for the template version.
    Document to Upload Click the button to open a standard file selection window.  Select the file to be attached and click Open.  The full path and file name is displayed in the field.

    The Document Template Versions panel becomes available once a template has been saved. This panel lists all versions of the template.

    1. Select an action.
      • Click a link in the Name column to view an existing template version.
      • Click a link in the File column to view the associated template file.
      • Click Add to add a new template version.
      • Check the boxes for one or more template versions and click Deactivate to disable the selected versions. A version can also be deactivated from the Document Template Version window. Inactive template versions are not considered when the system is selecting the appropriate version to use.
    2. On viewing or adding a template version, the Document Template Version window opens.
    3. The panels and fields are described below.  Fields marked with a red asterisk * are required.
    4. Name This field is only displayed when viewing an existing template version. This field displays the file name of the selected template file, not including the file extension.
      Description Enter a description of the template version.
      Effective Date An effective date can be defined for the template version. When a document is generated using this template, the effective date is used to select the appropriate template version. If multiple versions have the same effective date, the most recently modified version is used.
      Culture Select a culture for the template version.
      Document to Upload Click the button to open a standard file selection window.  Select the file to be attached and click Open.  The full path and file name is displayed in the field.

      The Status panel is available when viewing an existing template version.

      Active Marks the template version as active and available for use. Inactive template versions are not considered when the system is selecting the appropriate version to use.
      Created By Identifies the date and time the version was created, and the user who created it.
      Last Modified By Identifies the last date and time the version was changed, and the user who made the changes.
    5. Select an action.
      • Click Save & New to save the template version and clear the form to add additional versions.
      • Click Save & Close to save the template version and close the window.
      • Click Close to close the window without saving the template version.

    Back in the Document Template window, the Status panel is available when viewing an existing document template.
